IN-PERSON & ONLINE SERVICES

All services require that the client and any witnesses have current government-issued ID. These include drivers’ licenses, passports, provincial identification cards, Certificates of Indian Status with proof of address such as a recent bill or government correspondence, and Canadian Permanent Resident Cards with proof of address such as a recent bill or government correspondence. Health cards cannot be accepted as ID. Canadian Citizenship Cards will not be accepted as they ceased being distributed in 2012. Student cards are not accepted as they are not government-issued ID and bus passes are not accepted given their lack of detail.

The ID must reflect the exact name used in the document. For example, if the document indicates a party is Don Smith, but the ID states the name is Donald John Smith, the notary cannot confirm the identity of the signer. In addition, the photograph on the ID must match the current appearance of the client.

An individual who has no current government-issued ID can swear an Affidavit of Identity. This requires a family member who has current government-issued ID to swear their own affidavit indicating their knowledge of the client’s identity, which must be done in front of the notary. This process will involve additional cost.

Collection and Retention of Information

Law requires that Moira keep a copy of a client’s ID, their contact information, the Acknowledgement of Services, the document being notarized, and the receipt for a minimum of 3 years. This information is stored digitally on a password-protected computer, encrypted. It will not be shared with third parties unless consent is given by the client, legal investigations require it, or required for the purposes of litigation. Contact information will not be used for the purposes of soliciting further purchases of services from Mobile Notary Services.
